Position: Site Assistant Administrator
Responsibilities as Site Assistant Administrator:
a) STAFF LEAVE (ANNUAL LEAVE, SICK LEAVE, CASUAL LEAVE)
Arranging Flight Booking for all the employee and Hotels booking for all the incoming employees and Guest.
Receiving leave applications, checking and forwarding to AM/CM
Informing the staff approval / disapproval thereof
Maintaining proper records of the same
Daily monitoring of Marubenis personnel
b) STAFF MONTHLY TIME SHEET
Collection of Time Sheet copies from site office for all staff
Compute wages of personnel
c) ARRIVAL OF NEW EMPLOYEES
Arrangement of temporary/permanent accommodation
Assisting new employees with Bank Account opening and formalities thereof.
Application to QTel for e mail ID, mobile & other services
Medical / finger printing formalities for R/P visa for new employees
Application for ADSL connection
Receiving and checking monthly bills and forward to AM
h) COMPANY RENTED APARTMENTS FOR MANAGERS
Maintain Lease Contract File properly. Ensure that all contracts are
valid and inform Adm. Manager 45 days prior to expiry of contract.
i) SUPPLIERS / THIRD PARTIES
Getting quotations whenever required and forward to AM
Undertake some small purchases for site office whenever required
j) MAINTENANCE OF SITE OFFICE
Oversees and coordinates daily office administration, liaise with office services for office supplies and office equipment maintenance
Request for monthly pantry items / stationery items
Manages information flows among the Management Team, attends to a multitudes of requests, mails, telephone calls
Coordinates logistic arrangements for on and off-site meetings and events
Maintains and controls department correspondence and documents for proper and easy retrieval
Coordinates with a team on special projects and performs ad-hoc job .
i) Hotel Accommodation (whenever required)
j) Proper coordination between our different site offices
k) Proper coordination with Accounts Dept. whenever required
l) Maintain good harmony and relation amongst all site staff and superiors
m) Any other assignments as instructed by CM/AM/other superiors
